Conference & Summit Production NYC
Start-to-finish production for summits, conferences, and keynotes in New York
We produce summits at our building at 393 Broadway and on stages across New York, from Webster Hall to The Times Center. Keynote visuals, audio, stage management, voice of god, and video of every speech, all run by LUME STUDIOS.
LUME Studios is a New York experiential agency and AV production company. We find the venue, build the show, run the stage, and record every session for summits, conferences, investor meetings, and corporate presentations. Our team brings 40+ years of combined production experience and has produced 1,700+ events for 700+ brands, at venues including The Times Center, Webster Hall, Knockdown Center, Convene, The Ritz-Carlton NoMad, and our own five-floor building in Tribeca.

What we produce
Everything your summit needs, run by one team
LUME started as a venue. Ten years of running our own room at 393 Broadway taught us what summit day actually requires: clean audio for a panel of five, slides that behave, a confidence monitor the speaker trusts, and someone calling cues who has done it hundreds of times. Hire us for one piece or the whole show.
Full conference production, start to finish
We take the event from brief to strike: venue, run of show, speaker wrangling, staging, AV, crew, catering partners, and content. One LUME producer owns it and is your single point of contact.
Venue sourcing across New York
No venue yet? We host up to 200 guests at 393 Broadway. For bigger rooms or a different neighborhood, we shortlist venues, walk them with you, and handle the venue advance. Venue sourcing.
Keynote visuals and stage screens
Walk-in loops, speaker slides, sponsor reels, lower thirds, LED wall content, and projection design. We check every deck and format it for the venue's screens before rehearsal.
Stage management and show calling
A stage manager runs backstage: speaker check-in, mic-up, holding, and on-cue entrances. A producer calls every cue from the booth, from the first session to the last. Speakers get confidence monitors and a countdown timer.
Voice of god announcements
The off-stage voice for your opening, speaker introductions, session changes, and sponsor reads. Choose a live announcer from our team or a pre-recorded AI-generated voice cued from the booth. We write the scripts with you.
Audio production and setup
Panel and lavalier mics, handhelds for audience Q&A, PA design and tuning, and an engineer mixing live. You get a clean board feed for the recording and the stream. Audio visual production.
Video of every speech, plus livestream
Single-camera capture up to multi-camera coverage of every session, recorded from the board audio. Add a livestream for remote attendees, or a hybrid setup on Zoom, Teams, or Google Meet.
Event photography
Stage, speaker, sponsor, and attendee coverage. Selects are delivered the same day for social, and the full gallery after. Event photography.
Recaps and session edits
A same-day or next-morning recap reel, plus edited speeches you can post, send to sponsors, or gate behind a form. Videography and editing.
A crew booked by name
Audio engineers, lighting designers, camera operators, stage managers, and show callers from a bench we have worked with for years. Larger builds bring in our event production team.
Creative direction
One look, from the walk-in loop to the last slide
Your summit should look like one event from the first screen a guest sees to the final session. We design the visual system for the day and build every piece of it to the venue's screens before load-in.
Event identity
A look for the day: type, color, motion, and how your brand sits on a stage. Then we apply it to everything below.
Opener and walk-in loops
The video that starts the show and the loops that run while the room fills.
Speaker walk-ons and lower thirds
Every speaker gets a walk-on graphic and a name card, timed to the voice of god intro.
Sponsor reels
Sponsor loops built to the same look, scheduled into the breaks so every logo gets its airtime.
A deck template every speaker uses
We send speakers one template early, then check and format every deck for the venue's screens, so twenty speakers still read as one show.
Stage and set design, rendered first
Backdrops, LED and projection layouts, and branded set pieces, planned to the room. You see renders and sign off before anything is built. Fabrication runs through partners we have used for years, built to our drawings.
At the Ecom Founders AI Summit at Webster Hall, every speaker deck, sponsor loop, and walk-on graphic ran off one system, for about 300 founders, from doors to the final talk.
Speaker support
Every speaker walks on ready
Your speakers should only have to think about the talk. We handle everything around it, from the deck to the walk-on.
Deck collection and version control
We collect every deck before show day, check it on the real screens, and keep the latest version loaded. Last-minute changes go through one person, so nobody presents the wrong file.
Tech rehearsals
Speakers walk the stage, test the clicker and mic, and see their slides on the screens before doors open.
Confidence monitors and teleprompter
Slides, notes, and a countdown face the stage. A teleprompter is there for any speaker who wants a script.
Check-in and mic-up
A stage manager meets each speaker backstage, mics them, and brings them to the wing on cue.
Voice of god scripts
We write the intros with you and cue them into the run of show, read live by our announcer or as a recorded AI voice.
For the Fora Annual Summit at Knockdown Center, we ran the LED wall, confidence monitors, and stage timer. At the Responsible Tech Summit at The Times Center, we ran visuals, playback, and speaker support.
Attendee experience
The room around the stage
Guests spend half the day off the stage: arriving, networking, eating, and walking sponsor tables. We plan those hours with the same run of show as the keynote.
Arrival and check-in
We staff registration for the day, so the line at the door moves and guests reach their seats before the opener.
Signage and wayfinding
Directional signs, session boards, and sponsor signs, designed to the event identity.
Breakout rooms
Screens, sound, and a tech in each room, on the same schedule as the main stage. We have run five breakout rooms so far.
Food and bar
Catering comes from our preferred caterers, sized to your breaks and your headcount, with a bar for the networking hour.
Sponsor takeovers
Sponsors can take over a space for the day: branded backdrops, demo tables, and photo moments. At 393 Broadway, that can be the 360° Immersive Studio.
Photo and content capture
Photographers cover the stage, the speakers, the sponsors, and the crowd, with same-day selects for your team's posts.
For Solana, we sourced a 30,000 sq ft SoHo venue and ran a two-week bootcamp and hackathon for 1,000 attendees.
Formats
What we produce most
Every format below has been through our hands more than once, and we also produce workshops and masterclasses. Tell us the shape of your day and we will tell you what it needs.

Summits and conferences
Full-day programs with keynotes, breakouts, and sponsor moments. We keep the stage, the screens, and the schedule moving together.

Keynotes and product launches
One speaker, one reveal. Rehearsed cue by cue until nothing about it is left to chance.

Panels and fireside chats
Five mics, one conversation worth hearing. Clean audio, a stage look that photographs well, and slides that change on cue.

Investor meetings and corporate presentations
Board-ready visuals, clean recording, and tight timing, in hotel ballrooms, boardrooms, and our own lofts.

All-hands and town halls
Leadership on stage, questions from the floor, and a stream for the people who could not be in the room.

Non-profit presentations and galas
Mission videos, honoree reels, and a live ask that lands. We scope to the budget and say so plainly when something is not worth the money.

Process
How a summit comes together
Advance call
Thirty minutes on date, headcount, agenda, budget, and whether you have a venue. You get an itemized quote within 24 hours.
Venue
We confirm LUME, coordinate with your venue's production contact, or send a shortlist of rooms that fit.
Run of show
We build the minute-by-minute show with you: speakers, walk-up music, voice of god scripts, transitions, and sponsor reads.
Content build
Speaker decks collected and checked, stage visuals designed, and playback programmed at the venue's actual screen resolutions.
Rehearsal and show day
Crew in early for line checks and camera positions. Speakers get a stage walk-through. A stage manager runs backstage and one producer calls the show.
After
Strike on the venue's clock. Photo selects the same day, then the recap reel and edited speeches.
Lead times
How far out to start
Anywhere from a few weeks to four months, depending on how much we are building.
| Your event | Start this far out |
|---|---|
| Stage visuals, AV, and show calling at a venue you already booked | A few weeks |
| Multi-day conference, custom stage build, or we source the venue | Up to four months |
Most one-day summits land in between. Already inside the window? Send the date anyway. We can usually tell you in one call what is still possible.
Investor meetings and board presentations run under NDA, and we sign yours.
FAQ
Conference production FAQs
Can you produce our whole conference, start to finish?
Yes. We handle venue sourcing, run of show, staging, AV, keynote visuals, stage management, crew, recording, and recap content. One LUME producer owns the event from the first call to strike.
Do you only produce events at LUME Studios?
No. We produce at venues across New York City, including The Times Center, Webster Hall, Knockdown Center, Convene, and The Ritz-Carlton NoMad. We also host up to 200 guests at our own building at 393 Broadway in Tribeca.
Can you help us find a venue?
Yes. Tell us your headcount, dates, budget, and format, and we will shortlist NYC venues that fit, walk them with you, and produce inside the one you choose.
Do you provide voice of god announcements?
Yes. We provide the off-stage voice for openings, speaker introductions, session changes, and sponsor reads, either a live announcer from our team or a pre-recorded AI-generated voice. We write the scripts with you and cue them into the run of show.
Do you provide stage management?
Yes. A stage manager runs backstage (speaker check-in, mic-up, and on-cue entrances) while a producer calls every lighting, audio, and playback cue from the booth.
Can you record every speech and livestream the event?
Yes. We offer single-camera capture up to multi-camera coverage of every session, recorded with clean audio from the board. We can stream to remote attendees or run hybrid sessions on Zoom, Teams, or Google Meet.
Do you provide event photography?
Yes. Our photographers cover stage, speakers, sponsors, and attendees, with selects delivered the same day.
Do you build keynote slides and stage visuals?
Yes. We design walk-in loops, sponsor reels, lower thirds, and LED wall content, and we check and format every speaker deck for the venue's screens.
Our venue has an in-house AV team. Can you still help?
Yes. The house team knows its room and gear, and we work with them. We add the program layer: content, speaker support, playback, stage management, and show calling.
How much does conference production cost in NYC?
Pricing depends on the services you need. AV and stage visuals alone cost far less than full production with venue sourcing, video of every session, and photography. Send your agenda, headcount, and the services you want, and we will return an itemized quote within 24 hours.
How far ahead should we book a summit in NYC?
A few weeks is enough for stage visuals, AV, and show calling at a venue you already have. A multi-day conference, a custom stage build, or a venue search can take up to four months. Most one-day summits land in between.
Do you design the look of the event, or only run the AV?
Both, or either. We can design the full visual system: opener, walk-ons, lower thirds, sponsor reels, a deck template, and a stage design you approve from renders. We can also take your agency's files and run them. Either way, we format everything for the venue's screens.
Do you run speaker rehearsals?
Yes, tech rehearsals. Every speaker walks the stage, tests the mic and clicker, and sees their slides on the screens before doors. We provide confidence monitors and a teleprompter, and a stage manager brings each speaker on cue.
Will you sign an NDA?
Yes. Investor meetings, board presentations, and unannounced launches run under NDA.
Do you offer non-profit pricing?
Often, yes. Tell us your budget and we will advise where it does the most for the program.
